Scope of Services

SignNest provides mobile and Remote Online Notarization (RON), apostille facilitation (Arizona, other U.S. states, and federal), courier/legalization, certified translations (via vetted partners), I-9 verification, and by-appointment ink fingerprinting. Services are offered in English and Español, with clear timelines and secure chain-of-custody handling.

 

No Legal Advice

SignNest is not a law firm and does not provide legal advice. Clients are responsible for confirming destination-country acceptance and document requirements. We share practical guidance but cannot guarantee acceptance.

Payment & Fees

​

• Payment is due at booking/intake unless otherwise stated.

• Government fees, shipping, and third-party costs are itemized.

• Once submitted to an agency, government fees are non-refundable.

• Rush, after-hours, travel, or parking fees may apply and will be quoted in advance.

Cancellations, Late, & No-Shows

​

• RON/In-Person Notary: Please cancel or reschedule at least 12 hours prior. Missed or late arrivals (>10 min) may incur a reschedule fee.

• Apostille/Courier: Work begins at intake. If canceled after intake but before submission, a processing fee applies. After submission, only unused shipping (if any) may be refunded.

Shipping & Return of Apostilled Documents

​

• Included Shipping: All Arizona apostille fees include USPS Priority Mail with tracking, mailed back directly to the client.

• Upgrades: FedEx/UPS overnight or international shipping available by request at client’s cost plus a $25 handling fee.

• Client-Provided Labels: Clients may provide a prepaid label instead of using SignNest’s shipping.

• Liability Disclaimer: Once documents are in the custody of USPS, FedEx, UPS, or DHL SignNest is not responsible for carrier delays, loss, or damage.

Turnaround & Rush

​

• Processing times depend on government agencies and carriers.

• Mail-In Arizona Apostille: 10–20 business days.

• Priority Hand-Delivered: Next business day submission; return mailing the following business day. 

• Apostille + RON: Next business day submission following online notarization.

• Timelines are estimates only and may be affected by agency closures, force majeure, or client errors.

Apostille & Legalization Limits

​

• SignNest facilitates apostilles through the correct authority (state, federal, or consular).

• Acceptance requirements vary by country/agency and may change without notice. Clients are responsible for confirming final acceptance.

RON Requirements

​

• Valid, unexpired government ID with matching name.

• Reliable internet, camera, and microphone.

• Identity verification, liveness checks, and recorded session are required.

• Some documents/jurisdictions may not accept RON; client must confirm before booking.

• Failed sessions due to client tech/ID issues may incur a reschedule fee.

Other Services

​

• Certified Translations: Performed by vetted linguists with certificates of accuracy. Client must confirm target-agency requirements.

• I-9 Verification: SignNest acts only as the employer’s authorized representative for Section 2. Compliance responsibility remains with the employer.

• Ink Fingerprinting (FD-258): Clean rolled impressions provided. Acceptance is determined by the requesting agency. One courtesy reprint may be offered within 30 days at SignNest’s discretion.

 

Errors, Corrections & Rejections

• Errors caused by SignNest will be corrected promptly at no charge.

• Rejections caused by client-provided information, improper IDs, or incorrect destination requirements may incur additional fees.

 

Privacy & Records

​

• Personal data is safeguarded and retained only as required for service and compliance.

• RON sessions are recorded per statute.

• SignNest never sells personal information.

 

Liability Limit

​

To the fullest extent permitted by law, SignNest’s liability is limited to the fees paid for the specific service. Indirect, consequential, or third-party damages are excluded.

 

Service Area & Travel

​

Local service covers Litchfield Park and surrounding areas. Travel outside standard zones may incur additional fees. After-hours or holiday service available by arrangement.
