FAQs
General Notary Questions
What does a notary public do?
A notary public is an official appointed by the state to verify identities, witness signatures, and prevent fraud in legal documents.
At SignNest, we confirm your identity, ensure you understand what you’re signing, and apply our official seal to validate your signature.
Spanish:
Un notario verifica tu identidad y presencia al firmar documentos, asegurando que entiendas lo que estás firmando y que lo hagas voluntariamente.
What types of documents can be notarized?
Common documents include:
-
Power of Attorney
-
Affidavits and sworn statements
-
Real estate and loan documents
-
School or employment forms
-
Travel consent letters
-
Business or personal agreements
If you’re unsure whether your document can be notarized, we can review it for you at no cost.
Do I need to bring identification?
Yes. A valid, unexpired photo ID is required. Accepted forms include:
-
Driver’s license or state ID
-
Passport (U.S. or foreign)
-
U.S. military ID
If your ID is expired, contact us before your appointment for verification options.
Can you notarize documents in Spanish?
Yes. We are fully bilingual (English/Spanish).
If your document is in Spanish, we can notarize it as long as you understand the content and the document meets Arizona notarization requirements.
Apostille & Authentication Questions
What is an apostille?
An apostille is a special certificate issued by the Arizona Secretary of State that makes your U.S. document valid in another country that is part of the Hague Apostille Convention.
It verifies that the notary or official who signed your document is legitimate.
Spanish:
Un apostille es un certificado que valida un documento para que sea aceptado legalmente en otro país que forma parte del Convenio de La Haya.
When do I need an apostille?
You need an apostille when your document will be used outside of the United States.
Examples include:
-
Birth, marriage, or death certificates for use abroad
-
Power of attorney for property or family matters in another country
-
Diplomas, transcripts, or adoption papers
-
Business or legal documents for international use
Can SignNest handle the apostille process for me?
Yes. We manage the entire process — notarization (if needed), courier delivery to the Secretary of State, and return of your completed apostilled document.
We also provide updates at each step for your peace of mind.
How long does it take to get an AZ apostille?
Standard processing typically takes 3–7 business days, depending on the document and the Secretary of State’s current workload.
Expedited options may be available — just ask!
What’s the difference between notarization and apostille?
A notarization confirms your identity and signature.
An apostille confirms the notary’s authority or the authenticity of the issuing office.
Both may be required if your document will be used internationally.
Translation Services
What is a certified translation?
A certified translation includes the translated document plus a signed statement from the translator confirming that the translation is accurate and complete.
It is often required for USCIS, schools, and international legal processes.
What types of documents can you translate?
We offer certified translations for:
-
Birth, marriage, and death certificates
-
Diplomas and transcripts
-
Legal and business documents

Over 130+ languages available through trusted partners.
Do translated documents need to be notarized or apostilled?
Sometimes, yes — especially if they’ll be presented to a foreign government or court.
We can review your specific case and guide you through translation, notarization, and apostille in one process.
Remote Online Notarizations
Is online notarization complicated?
Not at all. As long as you have an internet connection, you can use a laptop, desktop, tablet, or
smartphone. All you need is a valid photo ID and the last four digits of your Social Security number for
the security check. The session usually takes only a few minutes, and I guide you step by step.
Do I need to download an app?
No, you won't need to download an app. I’ll send you a secure link to create a quick user account.
From there, you’ll connect directly to our secure platform.
Is my personal information safe?
Yes. The platform I use is approved for use in all 50 states and follows strict security standards. Your ID
is verified through knowledge-based authentication (like questions from your credit history) and a
secure scan of your photo ID. Everything is encrypted and recorded. Neither I nor anyone else sees or
stores your Social Security number or ID details.
How long does it take?
Most online notarization sessions take about 10–20 minutes.
Is online notarization legally valid?
Yes. Remote Online Notarization is legally recognized across the United States. The notarization you receive online has the same legal effect as one performed in person. Most agencies accept RON documents just like traditional notarizations, but you can always confirm with your agency if you want to be sure.
