SignNest provides mobile and Remote Online Notarization (RON), apostille facilitation (Arizona, other U.S. states, and federal), courier/legalization, certified translations via vetted partners, I-9 verification, and (by appointment) ink fingerprinting. We operate with bilingual care (English/Español), clear timelines, and chain-of-custody handling.

Scope & No Legal Advice

SignNest is not a law firm and does not provide legal advice. Clients are responsible for confirming destination-country acceptance and document requirements; we’ll gladly share practical guidance from experience.

Payment & Fees

• ​Payment is due at booking or intake unless otherwise stated.

• Government fees, shipping, and third-party costs are itemized.

• Once submitted to an agency, government fees are non-refundable.

• Rush, after-hours, travel, or parking fees may apply and will be quoted in advance.

 

Cancellations, Late, & No-Shows

• ​RON/In-Person Notary: Please cancel/reschedule at least 12 hours prior. Missed or late (>10 min) may incur a reschedule fee.

• Apostille/Courier: Work starts at intake. If canceled after intake but before submission, a processing fee applies. After submission, only unused shipping can be refunded.

 

Shipping & Return of Apostilled Documents ​

• Apostille facilitation fees cover processing only. Return shipping costs are not included.

• Client-Provided Labels (Preferred)
  Clients may provide a prepaid FedEx or UPS label for domestic or international delivery.

• Arranged Shipping (By Request)
  If a prepaid label is not provided, SignNest will arrange shipping at cost through FedEx or UPS. A separate invoice will be issued prior to mailing.

• Domestic & International Service
  Completed documents can be shipped anywhere in the United States or internationally. Shipping times and costs vary by destination and are the responsibility of the client.

• Liability Disclaimer
  Once documents are delivered to the carrier, SignNest is not responsible for any delays, damage, or loss caused during transit.

Turnaround & Rush

• Timeframes depend on agency processing and carrier speeds. We provide milestone updates (submitted → received → issued → returned).

• Priority Hand-Delivered aims for same-day or next-business-day submission/retrieval where available and within cutoffs. Slots are limited.

• Estimated timelines are not guarantees; force majeure and agency closures may affect delivery.

 

RON (Remote Online Notarization) Requirements

• ​​Valid, unexpired government ID; name must match the document.

• Quiet, well-lit space; reliable internet; camera/mic enabled.

• Identity verification, liveness checks, and recorded session are required.

• Some documents or jurisdictions may not accept RON—client must confirm acceptance.

• If a session fails due to client tech/ID issues, a reschedule fee may apply.

Apostille & Legalization Limits

• We facilitate apostilles with the correct authority (state or U.S. Department of State) or coordinate multi-step consular legalizations for non-Hague countries.

• Acceptance rules vary by country/agency and can change; client is responsible for final use compliance.

 

Certified Translations

• Performed by vetted linguists; certificates of accuracy available.

• Formatting to agency specs when provided. Client must confirm target-agency requirements.

 

I-9 Verification

• SignNest acts as the employer’s authorized representative to complete Section 2 only.

• The employer retains compliance responsibility (including E-Verify, if used).

 

Ink Fingerprinting (FD-258)

• We provide clean, rolled impressions and supply FD-258 cards when needed.

• Acceptance is determined by the requesting agency; skin conditions or oil/dryness can affect outcomes. One courtesy reprint may be offered within 30 days at our discretion.

 

Errors, Corrections & Rejections

• If an error is ours, we correct it promptly at no charge.

• If a rejection arises from client-provided information, improper IDs, incorrect destination requirements, or late changes, additional fees may apply.

 

Privacy & Records

• We protect personal data and store only what is necessary for service, compliance, and recordkeeping. RON sessions are recorded per statute.

• We never sell personal information.

 

Liability Limit

To the maximum extent permitted by law, SignNest’s liability is limited to the fees paid for the specific service. Indirect or consequential damages are excluded.

 

Service Area & Travel

• Litchfield Park and surrounding areas. Travel outside standard zones may incur fees. After-hours/holiday service by arrangement.
